How sourcing works

Find the factory in the directory and send a sourcing request; the factory retrieves your contact details and decides whether to get in touch. This site only relays: no brokering, no quotes, no guarantees, no commission, and no reply is guaranteed.

  1. 01You

    Find the factory

Check how far the record is verified before you decide to send anything.

Reach a company page from the industry map, the factory directory or site search. Each company shows its products, location and level of verification: records compiled from public sources carry a source link and a verification date; self-reported records are labelled as such and have not been verified by this site.

You end up withA company page with a “Send a sourcing request” button

  2. 02You

    Send a sourcing request

State the product, quantity, specifications and delivery terms, and leave an email address.

The more specific the request, the easier it is for the factory to judge whether it can take the order. Do not include outside web links or file links; requests that only state who you are, without what you want to buy, cannot be relayed. This channel is for volume orders and long-term supply; for single items or small quantities, use retail channels.

You end up withA request with a reference number (starting with INQ-)

  3. 03This site

    Screen and relay

One email, relayed to the factories you chose exactly as written — and that is where this site stops.

A content check runs before relay: only genuine sourcing and cooperation requests go through; harassment, spam and pitches selling to the factory are blocked. Each factory has a daily cap on how many requests it receives; anything above it queues for manual relay.

You end up withOne relay status per factory (see the table below)

  4. 04The factory

The factory gets your contact details

You are notified the moment the factory opens the link and retrieves your details.

The relay email does not contain your contact details in plain text. The factory clicks “Get the buyer’s contact details” and sees your email and messaging handle on a page of this site. Whether and when it contacts you is then the factory’s decision; this site does not follow up on its behalf. If the factory replies to our email instead, we forward the reply to you under the reference number.

You end up withA notification email; the status becomes “contact details retrieved by the company”

  5. 05You

Keep the receipt, track the status

The receipt subject carries the reference; the status page stays available for 90 days from submission.

The receipt lists the relay status for each factory. To report a wrong or impostor listing, or to withdraw a request, email hello@hebeineijuan.com quoting the reference.

What this site does and does not do

This site is free and open: no listing fees, no paid rankings, no bidding for position, no paid certification or grading. It only relays sourcing requests: no brokering, no quotes, no guarantees, no commission.

Relay emails are sent by the mail provider this site uses; see the Privacy Policy for the provider and how data is transferred.

Reading the relay status

The receipt email and the status page show one status per factory. These are all of them and what each means.

Delivered to the company mailbox (not necessarily read)
The email reached the factory’s mailbox; whether it was opened is not something this site can know.
Contact details retrieved by the company
The factory has retrieved your email and messaging handle on this site, and you have been notified.
Waiting for manual relay
No usable mailbox for this factory yet; we relay once we find a public address.
Daily limit reached, queued for relay
The factory has hit today’s cap on incoming requests; the relay is deferred.
Mailbox bounced, trying another public address
The mailbox rejected the email; we are trying another public address.
Not relayed
The content did not pass the check; adjust it and submit again from the company page.

TRACK A REQUEST

Track the relay status

The status link is on the confirmation page and in your receipt email (subject carries the INQ- reference). Open it and enter the email you used when submitting to see delivery and pickup per factory. The link is valid for 90 days from submission; please do not forward it.

Cannot find the receipt email?

Email hello@hebeineijuan.com quoting the reference (or the email and company name you submitted with) and we will look it up and reply.
